How to Run a Social Media Content Calendar for Multiple Clients

A practical system for planning, approving and scheduling social posts across several client accounts without missed deadlines or off-brand posts.

Managing one brand's social media is a job. Managing eight brands at once is a logistics problem. Missed approvals, posts on the wrong account and last-minute scrambles on a Friday usually come from the process, not from lack of effort.

Here's a system for running content calendars across several clients that stays manageable as you add accounts.

1. Standardise the calendar, not the content

Every client's content should feel different, but their calendars should all look the same. Use one template for every client, with the same columns:

ColumnWhy it matters
Publish date & timeScheduling, and spotting gaps at a glance
ChannelInstagram, LinkedIn, Facebook, X, TikTok…
Content pillarKeeps the mix balanced (see below)
FormatSingle image, carousel, short video, text
CopyFinal caption, with hashtags
Asset linkWhere the approved image or video lives
StatusDraft → In review → Approved → Scheduled → Published
OwnerWho is responsible right now

When every calendar uses the same structure, anyone on the team can pick up any client's calendar without a handover call.

2. Plan around content pillars

Content pillars are the three to five recurring themes a brand posts about. For a local café, they might be:

  • Product: new menu items, seasonal specials;
  • Behind the scenes: baristas, sourcing, preparation;
  • Community: local events, customer features;
  • Offers: promotions and loyalty rewards.

Assign each post a pillar and check the mix every month. If a feed has turned into 80% promotions, the calendar shows it before engagement drops.

3. Batch the work by stage, across clients

Instead of finishing one client completely and then moving to the next, batch by stage:

  1. Week 1: plan topics and pillars for every client for the next month.
  2. Week 2: write all copy.
  3. Week 3: produce all visuals, then send everything for approval.
  4. Week 4: apply revisions and schedule everything.

Batching keeps your team in one type of work at a time. Writers write, designers design, and nobody switches context every hour.

4. Make approvals a fixed deadline

Waiting for approvals is the biggest cause of late posts. Fix it with rules everyone knows:

  • Send each client's whole month at once, not post by post.
  • Set a clear deadline, for example "approval needed by the 25th for next month".
  • Agree what happens if the deadline passes. Many agencies agree that unapproved posts are held, not published, which protects both sides.
  • Collect feedback in one place. Scattered email threads and chat messages are where changes get lost.

5. Respect each platform's format

Repurposing is efficient, but pasting the same post everywhere isn't. At minimum, adapt:

  • Length: X allows 280 characters for standard accounts, Instagram captions up to 2,200, and LinkedIn posts up to 3,000.
  • Aspect ratio: vertical (9:16) for Reels, TikTok and Stories; square or 4:5 for feed images.
  • Tone: LinkedIn rewards insight and professional context; Instagram rewards visuals and personality.
  • Links: Instagram captions don't have clickable links, so point to the link in bio, or use a Story link.

6. Schedule in advance, but stay live

Scheduling a month ahead saves huge amounts of time, but a calendar running on autopilot can embarrass a brand. Build in:

  • a daily five-minute check of each account's upcoming posts;
  • a pause procedure for sensitive news events, and who is allowed to trigger it;
  • space for reactive posts, such as trends or client news, so the calendar isn't too full to respond.

7. Track what works and feed it back

At the end of each month, pull the top and bottom three posts for every client and ask why. Was it the pillar, the format, the time or the hook? Feed those answers into next month's plan. To see which posts drove website visits, not just likes, tag your links with UTM parameters. Our free UTM link builder makes that quick.
